Kanonic (“we”, “us”, “our”) provides a data platform for restaurants that integrates POS and e-commerce systems, offers analytics and alerts, and—when authorized—facilitates actions that may write back to connected systems.

Data We Process

• Operational data: orders, items, modifiers, refunds, fulfillment, locations, catalogs, and configuration metadata.
• Derived analytics: metrics, aggregations, and quality checks produced by our platform.
• Optional customer identifiers: hashed or tokenized IDs where available, used solely for analytics (e.g., cohorts). We do not send marketing communications to end-customers.
• Account data: admin names, work emails, roles, audit events, and billing information.

Purpose & Legal Basis

• Provide and improve the service, including analytics, alerts, and optional actions/write-backs (performance of contract).
• Security, fraud prevention, diagnostics, and service quality (legitimate interests).
• Compliance with legal obligations (legal obligation).

Write-backs & Alerts

By default, Kanonic operates read-only. Certain features allow authorized admins to initiate actions (e.g., pause an item, update availability). These actions are role-gated, logged (user, time, before/after), and reversible where the platform allows. You control which integrations permit write-backs.

Sharing & Sub-processors

We use trusted sub-processors to host and operate the service.

Retention

We retain data for the duration of your contract and delete or anonymize within [30] days of termination or verified deletion request, subject to legal holds.

Security

• Encryption in transit and at rest.
• Least-privilege access, separate prod/staging, and audit logging.
• Incident response with [72-hour] notification SLA for applicable events.

Your Rights

International Transfers

Where data is transferred internationally, we use appropriate safeguards such as SCCs or equivalent mechanisms.
